Answers

No central file facility. Owners of records (managers) are responsible for keeping their groups files. Support staff gets delegated to file, index onto OSCAR (Officewide System for Capture and Retrieval), retrieve, and refile. RMO does the inventory, sets up the Office File Plan and associated data such as retention, Privacy Act system or records, security [plan for EISs, etc.,(all of which is recorded into MARTY (Masterlist of Agency Record TYpes); and handling all relations with NARA. RMO audits filing and indexing and record copy capture procedures, which are in MARTY, and focuses on continuous improvement. At the Office of the Comptroller of the Currency, we have a central file facility containing about 5,000 linear feet of active bank supervisory records. We use Cuadra Star to manage our active holdings and also to track our inactive records at the Federal Records Centers.

At the FDA's Center for Drug Evaluation and Research (CDER), we have one Central Document Room and 20 Division Document Rooms for our Investigative New Drug (IND) and New Drug Applications (NDA). To track their physical locations, we use INVAS (IND/NDA Volume Accountability System), a bar-coding application that feeds into our Center Oracle Management Information System (COMIS). The electronic data about the applications likewise goes into COMIS via our New Drug Evaluation MIS. Finally, our Division Files System, which maintains the internal correspondence about the drug applications, uses a modified version of Documentum to communicate with Oracle. Hope this is helpful.
